Financial Terms and Conditions for Student Accommodation 2008/09
On-Line Payment Options
Payment by Card (Credit/Debit)
- If you wish to pay your accommodation fees by card you can enter the details on the secure payment screen when you accept your accommodation contract on-line.
- Payment can be made in one instalment only. This payment is real-time and processed immediately.
- Some card issuers set transaction or daily limits on cards as a security measure. If your payment is significantly larger than your normal transactions, you may wish to check with your card issuer about transaction limits on your account.
Please Note: the University does not accept American Express or Diners’ Cards the transaction currency is £GBP (Pounds Sterling).
Payment by Direct Debit
- If you wish to pay your accommodation fees by Direct Debit, you can enter the details of your UK bank account on the secure screen when you accept your accommodation contract on-line.
- We cannot accept Direct Debits from non UK Bank Accounts.
- The Direct Debit payments will be collected from your bank account on:

3 August 2009 (postgraduate)

Payments will be processed from 1st September onwards.

Please Note: The University does not accept American Express or Diners’ Cards. Also overseas Maestro or Visa Electron cards cannot be accepted by mail order.
The transaction currency will be as the card unless the customer states £GBP (Pounds Sterling) at the time of accepting the contract.

Bank Transfer
If you wish to pay by Bank Transfer you will need to arrange this in advance for the funds to reach the University's account by the start of the accommodation contract. You should allow at least ten working days.
You will need to indicate that you are paying by Bank Transfer when you accept off-line and you will be given all the necessary details to arrange the transfer. There is a remittance for you to print and send with your acceptance.
Please note that the bank may make a charge of between £6 and £12; please adjust the amount you transfer accordingly.
UK Bank Cheque, Sterling Travellers’ Cheques and Bank Drafts
If you wish to pay by UK bank cheque, Sterling Travellers’ cheques or bank draft, you can either send them to the Accommodation Finance Office in advance or present them in person on arrival.
You will need to indicate that you are paying by cheque/Travellers cheque/bank draft when you accept off-line. There is a remittance for you to print and send with your acceptance.
Bank Drafts must be in GBP pounds sterling and be drawn on a UK bank.
Please note all cheques should be made payable to the " University of Bath".
Cash - Sterling Only
The University actively discourages students from paying by cash due to issues of personal safety. However, if you have no alternative please note you will need to go to the Accommodation Finance Office in person so that they may take your payment.
You will need to indicate that you are paying by cash when you accept off-line. There is a remittance for you to print and send with your acceptance.
Other Charges
Charges for Failed Payments
Should your cheque payment be returned to us, the University will levy a £20 charge.
Should your Direct Debit payment fail you will be charged a 'Failed Direct Debit’ charge of £20.
Overpayment and Refunds
- Any overpayments made for accommodation fees will be refunded back to the customer.
- The following student accommodation termination policy gives details of the procedure for ending a student accommodation contract and details the circumstances under which a refund will be given.
Students moving to private accommodation
Permission to leave the accommodation part way through the licence on Friday 23 January 2009 will only be granted if six weeks’ notice is given. To depart on Friday 23 January 2009, notice must be given by Friday 12 December 2008.
If you choose to leave our accommodation at any other time, or if you have not given sufficent notice to leave then you will be responsible for the accommodation fees until officially released by the Student Accommodation Office.
It is not permitted to sub-let or allow other students to live in rooms without the formal permission of the Student Accommodation Office.
The above conditions do not apply to students on Semester One/Semester Two licence.
Students in suspension or withdrawing from course
Students who suspend or withdraw from their course early will be liable for a termination charge equivalent to four weeks’ rent from the date they leave residence. It should be noted that such students are expected to vacate their rooms within two weeks of their suspension or withdrawal date.
The Student Accommodation Office in 6 West must be contacted personally for the relevant authorisation and forms to be completed.
- For credit and debit cards the refund will be credited to the card which made the initial payment.
- For direct debit payments the refund will be by UK bank cheque or BACS to the accountholder.
- Refunds for all other payment types will be by UK bank cheque or BACS.
General Information
Accommodation Services will discuss accommodation financial matters with the payee unless the student for whom the payee is making payment, refuses permission in writing.
Direct Debit Details
Direct Debits can only be set up from UK banks. If you wish to set up a direct debit instruction online you must complete the fields on the Direct Debit Details. The information requested regarding your account details can be found on your bank statement or in your cheque book.
Account name and contact details
Please enter the name of the account holder, if you are not the account holder, please ask the account holder to complete the screen.
Alternatively if the account holder is unavailable return to the Direct Debit details screen, print off the paper direct debit form for the account holder to complete and send to the University (the address is given on the paper form).
Please note: If the account is a joint account requiring both signatures you cannot give a direct debit instruction online. Please select the Off-line Acceptance of Accommodation Contract option, print off the paper direct debit form for the account holder to complete and send to the University (the address is given on the paper form).
Sort Code
Please enter your six digit sort code number, this is the number that identifies which bank your account is held with and also which branch the account is held at.
Account Number
Please enter your eight digit account number, if your number is more or less than eight digits please check with your bank that this is the correct number. Account numbers must have eight digits.
Branch name
On-line - the branch names will automatically be populated.
Off-line - Please enter the name of the bank branch where your account is held.
Direct Debit Instruction Confirmation
It is a legal requirement that the University confirms that your Direct Debit details have been received and are now held on the University's financial database. This confirmation will be sent to the accountholder at the accountholder’s address by post.
Delivery Policy
Rooms are available from 14.00 on the first day of the accommodation contract until 10.00 on the last day.
